User-Designed Search Results. Search results are provided in a brief display, with prompts for user-selected options for further detail. Patrons can browse "shelves" of similarly cataloged works. Saved results can be edited, annotated, and saved (via print, disk, and e-mail to self or staff) for later use. Images, electronic media, web sites, and online journals can be directly accessed. Bibliographic and serial issues search results can be sorted by short or full title, author, call number, material type, latest issue, or location (like grocery lists), and expressed in the following formats:

Search results show why a record matched: for example, if search, "low back pain", is being expanded to all variations of these words, then one record might match on "low back pain" while another matches on "lower backache pain". Or, if multiple subject headings are being searched, such as HIV-1 and HIV-2, then the search results show the records that match which term, or both terms.

Patrons can review their accounts including current loans, requested holds, fines, and more. At the option of the library and with security, users can renew their own loans, place items on hold, clear items on hold, set the number of days for a due date reminder to themselves, and update their own demographic information.

E-Journals, Complete Electronic Resources Management
Powerful tools help you upload, edit and maintain your electronic resources directly in your CyberTools for Libraries catalog, so your OPAC serves as a simple portal to your resources. You achieve full access to e-journals via through the 856 MARC tag: libraries choose to either attach a link to the current bib, or create a new "on-line" bibliographic record.

MeSH Updates Synchronized
CyberTools optionally delivers the annual NLM MeSH changes to you, complete with scope notes, "X", and "See Related" changes. At the same time, all the bibliographic records are also updated, resulting in your current MeSH Authority being synchronized with your bibs. This makes the search vocabulary really work, and promotes powerful, relevant search, retrieval, and reporting. A related amazing feature and one unique to CyberTools for Libraries: MARCout to Standard Distribution!

Bibliographic Linkage
The indexing tools automatically link monographic series to series titles. For example, Frontiers of Neurology/1997 is actually volume 835 of the monographic series Annals of the New York Academy of Sciences. The indexing allows this title to be found as "Frontiers of Neurology" (or any combination of some of these words) or as "Annals of the New York Academy of Sciences 835" (or any combinations of some of these words and number 835). This is important since citations often use the series title and volume number rather than the actual issue's title. The indexing is triggered by the title having the MARC values of tag 440 Series Statement/Added Entry (SAE)--Title, subfield $a Annals of the New York Academy of Sciences and subfield $v 835. Any of the other SAE tags and subfields will yield the same results.

A further tool to enhance bibliographic records is Analytic Linkage. Analytic Linkage can be used for "in analytic" cataloging, whereby the library might want to highlight a (local) author's contribution to a title. By creating the main title's bibliographic record, and then by separately creating a bibliographic record that cites the author's contribution (e.g., a chapter title) to the main title, this second bib can use Analytic Linkage to tie the two bibs together.

The more common use of Analytic Linkage is to further tie monographic series volumes together under the series title. First, create a bib for monographic series itself. Then, create the individual volume bibs. Lastly, use Analytic Linkage to link the individual volume bibs to the monographic series bib. The payoff is in the OPAC: when a patron examines the monographic series bib, the patron will also see all of the individual volume titles!

URL Tester
The CyberTools URL tester regularly tests all URLs from the MARC Bibliographic 856 tag subfield u, producing a list of failures. The failures need to be re-tested later to verify that each failure was not momentary (as when the Web server was temporarily down, or during a network problem). This re-testing is iterative and under your control. Once a failure threshold has been passed, the bad URLs will be noted in a local MARC tag, blocked from the OPAC display, and reported to you. CyberTools also reports URL hits on an aggregate, monthly basis. Privacy is protected, but you're equipped with the management reporting you need.

Claims: Serial Claims are automatically triggered at check-in. A Late Warning is issued for a journal that never started after set-up, or simply stopped new issues. Routing: Our routing tools help you distribute and track your materials to patrons using a wide range of parameters. Z39.50
CyberTools for Libraries supports Z39.50 version 3, the standard for information retrieval among disparate library automation systems. The Z39.50 standard is designed to support searching and retrieval of full-text documents, bibliographic data, images and multimedia. The standard is based on client-server architecture and is fully operational over the Internet. The CyberTools Z39.50 server meets the Bath and Texas profiles: any Z39.50 client can access this server. For example, a librarian in your consortium could search your catalog with his or her favorite (thus familiar) Z39.50 client. Or, your patrons and staff can simultaneously search your catalog and other catalogs of interest, for example, those of neighboring libraries that also have Z39.50 servers. As a bonus, the CyberTools for Libraries Z39.50 server uses the same powerful search engine as the Online Catalog, insuring identical and powerful search results.

Why would you need Z39.50 if your catalog is able to be accessed by the public via the Web? Z39.50 is nice to have, particularly for patrons interested in serious scholarly research. Z39.50 allows any patron to plug in other cool search and/or library tools. Here are two of our favorites:

BookWhere allows a patron to simultaneously search many similar catalogs that have Z39.50 servers: this is very powerful! If your catalog is part of a consortium, e.g., state, federal agency, etc.), then all associated libraries should have Z39.50 servers, and use BookWhere to seamlessly search the combined catalogs. This is why Z39.50 is called an information server.


Ad Hoc Reporting
A comprehensive suite of reports is included in CyberTools for Libraries. You simply make a menu selection to print these reports. In addition, we make it easy for you to perform ad hoc, custom reporting with popular, off-the-shelf report-writing packages. CyberTools uses post-relational database technology with SQL and ODBC, so if you need a special report, you can generate it yourself. You can use any workstation! In SaaS hosting, you can have any staff workstations use the system concurrently up to the max specified in your agreement, even from home or a remote office in the facility. You are accessing a web link, and no CyberTools software is required on the workstations. This works a little differently if the library runs CyberTools on its own server, but either way, this flexible set up is very practical for libraries. CyberTools helps you work the way you need to, for smooth, efficient library operations.

B. Suitability for Your Library

B1. CyberTools seems to be used in a lot of health science libraries. Is it right for me?
CyberTools supports LC subject headings, and all libraries benefit from its strong serials and online resource integration capabilities. It also offers a powerful, great-looking OPAC with rock-solid search and flexible reporting capabilities. So, many features are well-suited to research, special, academic, or any other type of library. We can connect you with examples of other libraries that use CyberTools. CyberTools solves two important issues for medical and research libraries: integration with the U.S. National Library of Medicine's Medical Subject Headings and the need for highly efficient serials and electronic resources management.

B2. Tell me how my library can customize this system to meet our own needs and tastes.
All fonts, colors, and backgrounds can be controlled by each user and/or by the library. You can add your own logo, links, or graphics to your OPAC as you wish. Hundreds of settings are controlled by the library, e.g., circulation locations and terms, MARC bib processing preferences, etc. In the OPAC, nearly all words and terms used are controlled by the library. CyberTools provides functionality, you provide policy.

B3. How does CyberTools for Libraries handle bar codes? What kind of bar code equipment do I need? Do I have to use bar codes?
CyberTools for Libraries software is completely independent of your choice of bar code technology. You can use whichever technology you wish. Compatibility issues arise between the bar code labels for the books and other materials and patrons: we suggest you select a bar code reader that will handle all. CyberTools can handle leading zeros in the bar code. We do not require a check digit in the bar code, but we validate the pattern and the existence of the code.

CyberTools does not require that the library use bar code readers! In fact, bar codes may be unnecessary for small libraries having collections that do not circulate. CyberTools's spine & pocket label printing can include the holding number (a unique key identifying an item) which may be used in circulation instead of a bar code.

CyberTools software reads bar codes and does not produce them, since many high-quality, reasonably priced, pre-printed bar code label sources are available. The library can scan the bar code into the record as the item is being cataloged. And of course, the bar code can be scanned for all circulation activity. The ability to work with any bar code technology, as well as the ability to work well without bar coding at all, is another way we provide the flexibiilty libraries need today.

B4. How does the system provide for the tracking of in-house circulation (items that have been used by patrons and left for the staff to re-shelve)?
Function Internal Circulation on the Circulation menu helps librarians account for usage within the library. If the library uses bar codes, the returned items are either scanned with a hand-held device or bar code reader, and this data is then uploaded to CyberTools. Management reports help you learn how frequently items have been used, including those used within the library.

B5. How does CyberTools for Libraries handle the cataloging and access of "locally-produced electronic resources" that are either a PDF or Microsoft Word document?
The librarian would catalog these titles with a tag 865 $u, that is, a URL, to a server that can deliver the files. This is easy. If these titles are in the OPAC and a user clicks on the URL noted for the item, the access is automatic. Infrequently, the library chooses an intermediate link as a policy, in order to manage potentially large PDF files or slow internal networks at the library.

B6. Can our libraries establish a Shared/Union Catalog?
Yes. Any group of libraries can have a Union Catalog with CyberTools for Libraries, whether they select the Hosting/SaaS Access option or license CyberTools on their own servers.

B7. My library is using another automation system but the serials module is weak. How do I integrate CyberTools's Serials Module with my current system?
This is easy. Export the MARC bibliographic records for the serials from the current system into CyberTools for Libraries. Then set up the publication frequency information and historical holdings strings, or contact CyberTools about automatically importing these values. You're ready to start to check in the new issues! Your current OPAC must be able to link to a URL. If it hyperlinks URLs, then we can easily hyperlink your OPAC to the CyberTools serials holdings for accurate displays. When a journal search is made in your current, "foreign" OPAC, the foreign OPAC will display words such as "Link to Journal Issue Detail". If the user clicks on the link, CyberTools for Libraries will display a window showing Serials detail. Library staff work with other powerful Serials features directly in CyberTools for Libraries - all without having to move bibliographic records into CyberTools if they wish. The library can also decide whether to use CyberTools Serials Circulation, or handle Serials Circulation in their other library system. You can even use the CyberTools OPAC to search on your serials. You decide how you want to work with CyberTools Serials, all for one low fee.

C. Getting Started With CyberTools for Libraries: System Set-Up & Training

C1. My library isn't currently automated. How difficult will it be for us to get started with CyberTools? What steps are involved?
It's easy. First, set up any unusual locations. The system comes with standard locations such as "General Collection", "Reference", "Journals", etc. Then take our Web tutorial on how to download MARC bibliographic records (from any source, including MARCIVE, LC, NLM, and/or OCLC). Now start to build your catalog! It's that easy!

C2. What kind of hardware will I need?
We've identified the minimal hardware you'll need if you decide to license and run off your own server. Remember that with CyberTools you have lots of options: as an alternative to setting up your own server you can participate in the CyberTools Hosting/SaaS Program, and lease this fine software over the Web. CyberTools offers "true" SaaS/Software as a Sevice: you do not need to buy any hardware or software to run a server - we handle all this for you.
