7.4 Fields: Serial Item Edit


7.4.1 Field 1 Journal Item #:
10 characters, display only


7.4.2 Field 2 Date Claimed:
64 characters, display only


7.4.3 Field 3 MARC#:

7.4.4 Field 4 Copy #:
10 characters, display only


7.4.5 Field 5 Serial Title:
72 characters, display only


Purpose: To display the Serial's title.


7.4.6 Field 6 Function Keys


7.4.7 Field 7 Volume:
31 characters, mandatory, tab stop


Purpose: To specify the volume number for the associated issue(s), or specify a volume range.


Format: It is a valid number for a single volume. If this is a range of volumes, use a dash, e.g., "20-23" but without the quotes.


You can use up to five numbers in the volume, no other characters.


You can place up to one hundred published volumes (as one bound volume) in one statement, such as 1-100, 115-214, etc.


If a combined volume has been published, such as volume 11 and 12 in a single volume, you can enter this volume as 11-12.


If the title does not use volume numbers, use the year as the volume number.


7.4.8 Field 8 Bound Flag:

Purpose: To display "Bound" if the item represents a bound volume.


Menu Style: Radio Button/Check Box

7.4.9 Field 9 Issue:
11 characters, mandatory, tab stop


Purpose: To specify the issue number or the issue number range that this item represents.


Format: It is a number or a number range using a dash, e.g. "123-456" but without the quotes. If the value is a range but some of the issues are missing, then use the field Bound Note to document the flaw.


7.4.10 Field 10 Complete Volume Flag:

Purpose: To specify if this issue completes the volume.


For example, if a volume contains twelve issues and is bound in two physical volumes, vol.1, nos.1-6, and vol.1, nos. 7-12, enter do not select the Complete Volume check box for issues 1-6, but do select it for issues 7-12. When you inventory your journals, it is a good idea to enter all the volumes of a title at the same time to keep track of complete volumes.

7.4.11 Field 11 Running Issue:
11 characters, tab stop


Purpose: If applicable, to specify the Running Issue value(s). This field may represent a range of issues.


Format: A number, or a number range delimited by a dash, e.g., "1234-5678" but without the quotes.


7.4.12 Field 12 Part Number:
4 characters, tab stop


Purpose: If applicable, this field specifies the issue's part value.


Format: It is one to four numbers and/or letters.


7.4.13 Field 13 Supplement:
7 characters, tab stop


7.4.14 Field 14 Year:
9 characters, mandatory, tab stop


Purpose: To specify the year for this issue or volume.


Format: A valid four digit year or a range of years separated by a dash, e.g., "1999-2001" but without the quotes.


7.4.15 Field 15 Month (or Period):
9 characters, tab stop


Purpose: To specify the month (e.g., April) or period (e.g., Winter) for the first most issue represented by this item.


Format: It is a table selection.

7.4.16 Field 16 Ending Month (or Period):
9 characters, tab stop


Purpose: To specify the month (e.g., April) or period (e.g., Winter) for the last most issue presented by this item. If the item represents only one issue and/or the first and last months are the same, then this field should be empty.


Format: It is a table selection.

7.4.17 Field 17 Day:
2 characters, tab stop


Purpose: If the publication is more frequent than monthly, then this field specifies the day of the publication.


Format: It is a number, 1 to 31.


7.4.18 Field 18 Bound Note:
65 characters


Purpose: To specify a note for the bound volume that appears in the OPAC. You can enter any free-text information you like in this field, such as:


(a) issue numbers that are missing from a bound volume;


(b) notes on cumulative or regular indexes;


(c) notes to indicate that supplements are bound with the regular volume or separately;


(d) notes to indicate that supplements have special names or that different kinds of supplements are bound within a volume;


(e) additional information on monographs that are bound into volumes;


(f) edition statements.


The bound volume note displays in the public catalog and in the staff functions.


Format: It is any characters.


7.4.19 Field 19 Check In Date:
10 characters, tab stop


Purpose: To specify the date when the issue was checked into the database.


Format: It is any valid date.


7.4.20 Field 20 Bar Code:
20 characters


Purpose: To specify a serial issue's unique bar code.


Format: The issue's bar code may be any combination of letters and numbers.


Discussion: please note that new items can edit this field from this window, but previously existing items cannot edit this field from this window. You must use the function [Edit Circulation Values] to edit a previously existing bar code.


7.4.21 Field 21 Controls Ok, Cancel, & Help:
tab stop


Purpose: To specify an action that controls the window's flow. [Ok] will save and apply the displayed values, whereas [Cancel] will reject the changes. [Help] will display all of the documentation for the window. Press the Help key for context sensitive help for each field.


Format: It is an action that toggles the push button.

Delete Item...
Edit Circulation Values...


Function [Delete Item] will remove the item from the database. The Holdings String will be recompiled.


Function [Edit Circulation Values] invokes the standard Item Edit window from Circulation and Cataloging. All of the circulation values may be modified, e.g., the Location, Class, Status, Bar Code, etc.
