Function [Search Catalog] runs the Online Public Catalog.
Function [Issue Check In] is used to check in a recently arrived Serial Copy's Expected Issue. This function is not used to add retrospective holdings. This function displays information about title and copy, including:
- issues per volume;
- volumes per year;
- frequency and binding data;
- circulation location, status, and class.
An expected issue may be checked in directly, or the expected issue values may be modified and then checked in. When an Expected Issue is skipped, a Claim is generated in Claims Management. Routing (slips, labels, and e-mail) may be processed directly from here.
Function [Copy Edit] establishes the entity to which issues are tied. A serial title may have many Copies, and Issues are checked into a specific Copy. Other terms for Copy might be set, copy set, or subscription. [Copy Edit] declares the publication frequency, bindery frequency, circulation rules, and vendor data. A Copy must be created before an Issue is Checked In.
Function [Item Inquiry] is the same as that found in the function [Circulation]. It displays an item's circulation parameters and data, including usage data.
Function [Add Holdings] is used to inventory items during retrospective conversion, or items received when the Copy is no longer active. DO NOT USE THIS FUNCTION TO ENTER CURRENT ISSUES. ENTERING ISSUES VIA THIS FUNCTION DOES NOT UPDATE VALUES FOR LAST ISSUE RECEIVED. Use function [Issue Check In] to enter current issues in current Serial Copies.
Function [Routing] enables you to edit journal routing lists and routing slip formats. Routing Lists may be expressed as a traditional list, labels, or e-mail notification. Functions [Issue Check In] or Routing's [Daily Routing Print] are the functions that process the routing lists.
Functions [Claims and Late Warnings] enables you to investigate and process items the library has not received. A claim is placed on an item when an issue of a journal arrives out of sequence. A late warning is placed on a title if no issues have arrived for a given amount of time. This function also enables you to print letters to vendors/publishers with appropriate lists of titles that have not been received.
Function [Bindery] enables you to maintain data on serial items that are being bound into volumes. You can Compile, Print, Edit, and Process these items in Work Lists. Once perfected, the Work List is committed to a bindery Shipment. Many Work Lists may be committed to a Bindery shipment. Once the shipment is prepared, it is then sent, and finally received. Throughout the process, the items are dually marked for the OPAC, i.e., when an item is prepared for shipment its status is BINDERY PREP; when shipped, the status goes to "BINDERY"; when returned and awaiting shelving the status becomes "RETURNED FROM BINDERY", and when finally shelved, the status is item specific, e.g., "AVAILABLE" or "NON- CIRCULATING", etc.
Functions [Reports] enables you to create and print lists of serial receipts, serial titles, and holdings, as well as to produce a variety of title counts.
Function [Vendor Maintenance] creates, edits, and lists Vendors Associated with Serial Copies.
Function [Import SERHOLD Data] loads a NLM SERHOLD Holdings by Library Report. If your library participates in the US National Library of Medicine DOCLINE and keeps its SERHOLD data current, then this is a good way to build your local serial holdings quickly. This function should only be run when first starting the Serials Management module, although there is no harm in running it later.
Function [Import OCLC Serial Holdings] loads an OCLC MARC Serial Holdings file. The MARC bibs are automatically loaded into the catalog, the titles added to Serials Management, a Serial Copy is generated, and the 866 tags converted to Serial Copy Free Text Holdings Strings.
